Board of Directors Meeting Minutes

Meeting called to order at 6:07 pm by Vice-Commodore Russell Sheaffer.  Confirmed a quorum was in attendance for approval of business items.

I. Business Meeting

a. Approval of Meeting Minutes

A motion was made by Rachael Harvey to approve the July 18, 2018 Meeting Minutes; it was seconded by Bob Reilly.  There was unanimous approval.

b. July Financials

Dave Peterka stated that we continue to be behind on revenue compared to budget, specifically related to service labor, parts, sublet labor and canvas labor and parts due to our delayed start and high water leading to a slow season.  Things are picking up with water levels being more normal finally.  Our expenses are also down compared to budget and our net income sits at $19,000.  We continue to be down on payroll.

As for accounts receivable, we do have minimal outstanding payables.  One concern is the outstanding balance owed to us by Mallards.  Kori has talked to Dave and he said he would be paying a check this week.  We have one renter with an outstanding of $900+ balance that has entered bankruptcy and we have a sailboat that left on land that we are dealing with getting him to pay and remove.

II. Marina Operations

Kori asked for the approval of Jason & Stacey Fabio to purchase B-19 from Zach and Claire Babcock.  Anonymous approval.

Kori continued that now that is finally low water and things have been hopping!

Robert Smith from Mymic Training Solutions was back for our Marina Grounds Audit.  He checked for stray current as well and found six boats with possible stray current.  He said in a marina this size he usually finds 20-40.  The service department has and is contacting those boaters to discuss the problem.  He suggested that one our service techs takes the ABYC course that is for marine electrical, so we can have a certified person on staff for testing.

His only other recommendation was to put Fire Extinguisher signs on the side of the pedestals, it’s required to be visible up and down the dock.  Scott has since added them.  We also did have some pedestal lights burn out, we thought it was a photocell issue, it was actually just that the fluorescents had burnt out.  Those have all been replaced with LEDs.

The transient dock has been incredibly busy, we have also had some difficulty and believe transients are getting ahold of and handing out the ramp code.  I specifically talked to one of the transients after I watched him finish launch his boat and drive up the ramp.  There were six other boaters that day who got turned away as they tried to launch.  Security caught two people this weekend and one of our boaters gave it away to friends one day.

The yard crew has been working on painting the railings to the dock, the black may not be the best for the heat, so we are evaluating because we think they do look really nice.  I wanted consistency and to hide the grime. Yard crew has also been pruning the trees.  Cutting Edge has been here the past two days doing the Treeage Treatment to treat for EAB. The large blue marina signs also have been painted because they were quite dull and faded.

Our pool inspection by the state was done and everything came back perfect.  The inspector who has been here for a number of years mentioned that Sherm is one of the most conscientious operators she knows.

Kori met with one company to discuss security cameras, she believe it is a necessity that will need to be added in coming years.  They would not be on the docks, but on the grounds to be able to see people coming and going on the grounds.  Computer Repair and Services, who do our WiFi system, also do security cameras so Kori will be meeting with them for a quote as well.

Kori met with the service department and assigned them each a special task that will help improve efficiencies around the marina and internally.  We discussed that this will be included in determining their bonuses going forward.

Service

The service backlog is a little over a week, Mike Hurley thought we would slow down, but these good weekends are bringing in a lot of work.  Additionally, there have been a lot of activity with boat sales, so hoists for surveys and compression tests have been very consistent.  The haul-out paperwork was sent out last week and we are already getting some back.  Lastly, Mike contacted All-Temp Mechanical, they are providing us an estimate air exchange for the whole shop air exchanger for painting, so we know what that would cost and how to move forward with being safe and OSHA compliant.

Social Events

Vall Fuller was in attendance from the Past Commodores and was able to provide information about the 30th Anniversary Party that will be happening September 22nd.  Invitations will be going out within about a week, so save the date.

III. Old Business

a. WiFi System

Tore Detlie mentioned that he had Joe from Computer Repair & Services install a repeater on his boat and he said he was extremely happy with the service and the attention that Joe paid to his install.

Motion made by Eric Pederson to adjourn the meeting, seconded by Ed Manor; meeting adjourned at 6:40 pm.
