Meeting called to order at 7:06 PM by Commodore Russell Sheaffer. Confirmed a quorum was in attendance for approval of business items.
I. Business Meeting
a. Approval of Meeting Minutes
A motion was made by Rachael Harvey to approve the April 17, 2019 Meeting Minutes; it was seconded by Eric Pederson. There was unanimous approval.
II. Financials
Dave Peterka began by going through the income portion of the Financials. Trends are going in the same direction as they have in prior months.
Both Slip Rental and Service – Labor/Parts were up, putting the Marina $49,000 above budget. Due to the late start of the season, along with multiple weeks of no wake, the Fuel Dock and Transient Slip Rental income are down.
On the expense side, Payroll Expenses remain lower than budgeted. This is expected to even-out as the season progresses. Gas and Oil revenue are low which is consistent with Fuel Dock income being down. Similarly, Service – Parts expenses is up which is a function of Service revenue being up. Capital Improvements and Repairs & Maintenance are below budget due to large projects being completed in the coming months.
In total, the Marina’s expenses are $39,000 less than budgeted and revenue is $23,000 more than budgeted, creating a Net Operating Income of roughly $63,000 over budget.
Concerning Accounts Receivable, there remain two significant past-due balances that are expected to be paid by the end of July.
III. Marina Operations
a. General Update
Kori began by providing an update regarding the Fourth of July holiday: Transient slips were completely full, and aside from a few minor problems, the busiest weekend for the Marina was a success.
There has been nothing less than positive feedback relating to the Mobile Pump-out (MPO) Program. Two additional boaters requested to be added, making a total of thirteen boaters on the list. The goal of the MPO Program was to alleviate a bottleneck at the Fuel Dock which seems to have been accomplished.
Plumbing for the Mobile Pump-out connection line was completed at the Fuel Dock, so D-49 is available to utilize for pump outs from Thursday – Monday each week. However, the slip is only 40’ long, so we ask that only boats that length or less utilize the slip. The electrical pedestal is in a position leaving it susceptible to being hit by the bow of boats longer than 40’. The pedestal will be moved after this season.
In addition to plumbing the Fuel Dock, there is plumbing at the Service Well estimated to be complete before Haul-out. During the Haul-out process, the mechanics will perform boaters’ final pump-outs if they register for full winterization with our Service Department.
Marina-owned slip C-05 was sold to long-term boaters of the Marina for $102,500. The entire balance was applied to the mortgage loan, creating a new balance of $563,377. An additional slip sale was approved this Spring that will be finalized in September, and another $80,000 will be applied to pay down the loan.
The Bayport Fire Department now has a slip on D-Dock for their new fire boat. The pool chlorinator was installed earlier this week and the pool is still scheduled to close the week after Labor Day for resurfacing. Kori is awaiting quotes to replace the HVAC within the main building, as the heating and AC units are from the late ‘90s to early 2000s and no longer in optimal condition.
The Yard Crew remains busy with laying new mulch and rock around Marina grounds. The Service Department has been taking a generous amount of time rigging the new Azimut as it came with no installation instructions. Canvas is backlogged for minor repairs and is now booking winter work for larger repairs.
Kori initiated a conversation with Bill Kranz regarding the property at the end of D-Dock. For the owners of said property to access their land, they need to cross over Marina premises; the goal is to obtain a cross-easement to limit Marina liability.
b. Service Customer Service Survey
There used to be a Customer Service survey that Kori would like to resurrect pertaining specifically to Service-related invoices. A sample of the survey was handed out to Board Members for feedback and will be released to invoices pertaining a certain dollar amount in the future.
c. Mallards’ Slip Access
The cross-easement between the Marina and Mallards for use of the head pier in front of the restaurant and slips on D-Dock was sunsetted in February 2018. The Board gave Kori permission to speak with Bill Kranz about drawing an agreement between the Marina and Mallards for non-exclusive use of the head pier and six slips on D-Dock.
IV. New Business
a. Past Commodores’ Reception set for August 21
Decision was made to begin the Board Meeting at 6:00 PM; reception to begin at 7:00 PM.
