Meeting called to order at 6:34 pm by Vice-Commodore Amy Tolbert. Confirmed a quorum was in attendance for approval of business items. Commodore Brien Slawik was out of town on business and was unable to call in.
I. Business Meeting
a. Approval of Meeting Minutes
A motion was made by Bob Reilly to approve the February 21, 2018 Meeting Minutes; it was seconded by Eric Pederson. There was unanimous approval.
b. February Financials
Kori stated that February is always a positive month for the financials because the first half of assessments and spring rental payments are billed. Even though we are behind on service and canvas labor we are ahead overall on income. We are also under budget on expenses, so our net income overall is over budget.
As for accounts receivable, we do have outstanding payables because of the slip billings, but other than Group 41 and Steve Watson the accounts receivable balance is mostly current.
II. Marina Operations
Kori started by saying that the launch schedule is complete and published on the BMA website; the projected first day of launch is April 16. We will also be sending out a Marker 19 tomorrow to let everyone know. However, we still have 20” of ice in the harbor as of today. Since weather has to be nicer/sunny there has been more activity around the marina with current and prospective customers. We currently have two 41’ slips, two 65’ slips and three sailboat slips available for the 2018 season.
In the office we have been collecting payments, contracts and updated insurance in preparation for the upcoming season. Kori has been meeting with a number of vendors regarding different projects including shopping the marina insurance, plumbing needs, work boat requirements, Wi-Fi, uniform services…to name a few.
We did need to do an immediate repair to our garage door because a number of the hinges broke, and the door could not safely go up or down. It is, unfortunately, a temporary fix, and the whole door will need replacing to make it safely function properly. Kori assigned Scott Nielsen the point person on this, and he has a number of companies coming out to bid on the door.
Mymic Safety Training and Audit will happen tomorrow, March 22. All of the full-time crew will be recertified on the forklift and travel lift, and those who wear respirators will be fit-tested. A safety audit will also be performed with recommendations for improvements based on level of importance. This is a great program as it also provides us with an app for equipment inspections, online safety videos and emergency policies.
On April 30, Zach and Kori will be facilitating Fuel Dock Staff training. This year we improved the training even further and created a training manual for the staff. In the past, it had all been done via a presentation. Zach has been a huge help on this since he comes from working on the fuel dock, and Kori also had a better understanding after working a few shifts on the fuel dock last season. We also incorporated more safety aspects into the training.
Kori finished with how she has been spending a lot of her time getting information on improving our WiFi system. After talking to a number of members Kori believes Blue Horizon WiFi is not adequate for our set up. She approached two other firms, Computer Repair and Services out of Stillwater, the provider for Sunnyside and Windmill Marina’s WiFi, and Hoyos Consulting out of Madison, who is the brother of the Boat Doctor, and has WiFi systems throughout the country, including resort properties. The discussion was about the pros and cons of each system. Since we were short on a number of board members, the decision was made to send out the information via an email vote and choose the provider we would go with for the 2018 season. Time is of the essence to get the system in place by mid-May.
a. Service & Canvas
Tom in Canvas is working on installing the upholstered seats and canvas now that the Holt boat is back in the shop; he should have this completed by the end of March. He will have some work to perform on Babcock’s boat, and then he can move to the outdoor work that is too big to bring into the shop. He also was contacted by Erickson Marine to modify a cover that came directly from the factory for a Formula that they can’t get to fit correctly.
As for the service department, Nick and Chris have been able to get out in the yard and work on projects in boats along with reinstalling props. Mike is also starting to get more phone calls for spring work that customers would like performed before or during launch. The Lemanski boat got the last coats of paint and will begin having components reinstalled on it along with other work that was requested.
b. Yard
The yard crew completed the brush cutting and has been working on cleaning up as snow melts. We will have the rest of the brush picked up shortly by the tree service. The bubblers have been put out to protect the harbor from any ice shifting and to start opening things up. There has been some miscellaneous projects around the marina and in the building that they have been completing before the start of the season.
III.Old Business
a. Group 41
Amy presented on Brien’s behalf stating that due to the lawsuit being filed he recommends we focus on pushing for a settlement since we cannot be awarded legal fees per the cross easement.
Brien’s report: We have ample evidence of the discussion and written acknowledgment of Brett MacDonald all along the way that he was in agreement with the project and scope and even amounts until the end when his brother Matt suddenly appeared and wanted to raise conflict about the 4″ pavement thickness only being necessary on account of our travel lift. We have numerous videos, pictures, etc. of trucks servicing Mallards, double axel semi-tractor trailers, weighing far more than our travel lift, making frequent deliveries to the restaurant by using our clubhouse parking lot. In fact, there is no way any of those trucks can turn around without using the lot. I talked with a gentleman named Joe Kinney who worked for Asphalt Associates as he has done numerous blacktopping projects for my firm. He said it would be a waste of money for BMA to not reinforce the parking lot with a 4″ thickness as when it comes time to do an overlay it would be cost prohibitive to do the mill work if the thickness was so shallow. They would have to grind down all the way to the base coat anyways and we all would pay more money down the road and much sooner than if we didn’t provide the extra layer.
